MEETING ROOM POLICY

Applications must be made on the forms provided. The meeting room reservations are available on a first come, first served basis. Applications will be received by the Branch Librarian and those accepted will be filed and approved in order received. When two requests are received simultaneously, Webster Parish  organizations will be granted priority.

THE APPLICANTS MUST LEAVE THE MINDEN MAIN BRANCH AT CLOSING. The Mack Memorial Branch has alternate outside access and is available for after hours use.

All meetings must be open to the public and no admission fees may be charged, no items or services sold, no orders requiring future payment taken, and no donations may be solicited.

Meeting rooms may not be used for any meeting or function designed to financially benefit an individual, group, or for-profit institution at the time of the meeting or in the future.

The library reserves the right to limit to no more than one use per week for each non-library related individual, group, or organization. Library functions will take precedence over individual groups. The library reserves the right to cancel reservations granted on a reoccurring basis.

Applications must be submitted by an adult who shall be personally responsible for the conduct of the meetings, adherence to these regulations, payment of any fees, and for any damages.

The library reserves the right to cancel or suspend any permission granted to any individual, group or organization who violates these and/or any other library policy, rules and regulations.

The Director, Assistant Director, and/or Branch Librarian may refuse the use of any Webster Parish Library facility if it appears that such use may likely cause a breach of the peace or create a danger to the welfare of the community.

The use of the meeting rooms does not constitute an endorsement of the policies or beliefs of an individual, group, or organization.

All announcements, press releases flyers, etc. relating to meetings must make no statement inferring that the event is Webster Parish Library sponsored or sanctioned.

The library address may not be used by any non-library related individual, group or organization as their location or mailing address.

The library telephone numbers may not be used by outside individuals, organizations, or groups for any promotional or contact purpose.

Rooms must be let in a orderly condition. Furniture moved for the meeting must be repositioned. Costs for any extraordinary cleanup will be the responsibility of the user. Users are expected to remove glue residue, crayon marks, crumbs, drink spills, etc.

Alcoholic beverages or illegal drugs may not be dispensed or consumed in any part of the library. All Webster Parish Library branches are smoke-free facilities.

Food may be catered and/or microwaved, but not cooked, grilled, etc. A refrigerator, microwave, and coffee pot are provided. All other utensils, serving ware, and condiments, including sugar, creamer, etc., must be provided by the user.

Minden Main Branch and Mack Memorial Branch Libraries are handicapped accessible. The applicant is responsible for any additional special need requirements.

Room capacity will be determined by State Fire Marshal regulations.

No tipping or other payment to library personnel is permitted.

Non-library equipment may not be stored in the building between meetings.

No display item can be taped, tacked, or otherwise secured in a way that might damage the wall covering. Standard removable adhering products may be used. Please erase any residue.
